FAQ – Weekly Employee Setup hourly rate
Weekly paid employee
You will notice that you can’t add amounts to the rate screen on the masterfile. Pastel Payroll reads the information on the default tab and the hours entered on the rates tab of the masterfile to calculate the rate per hour.
To successfully setup the hourly rate we urge you to make sure what details have been entered on the working days tab of the masterfile. You will do this by navigating to:
- Edit
- Employee Masterfile
- Rates
- Working days
For a weekly employee the important information here is the hours per week:
On the Default tab of the Payslip screen we will need to put in the full amount a person would get for a full week worked on the code 5002. If an employee gets paid a rate of R30 and their rates tab is per the above example we will take the 31 hours and multiply it by the rate that we want:
31 x R30 = R930
Set this up on the payslip:
- Navigate to Process, Payslips.
- If the code 5002 is not on the Default tab of the payslip, click on the first available white line and add in the code 5002.
- In the Quantity column enter the same value that is displayed in the ‘Hours per Week’ section on the Working Days tab (in this example 31 days)
- In the Amount column, add in the amount that you calculated based on the below principle:
Hours per week x Rate you want
In this case R930
- Press the Save icon.
NOTE: ONCE YOU HAVE SETUP THE RATE ON THE DEFAULT TAB, DO NOT ADJUST THE QUANTITY OR THE AMOUNT ON THE DEFAULT TAB UNLESS THERE IS A RATE INCREASE OR IF THE EMPLOYEES CONTRACTUAL HOURS HAVE CHANGED. If the employee worked less hours in this period, click on the Income tab and change the quantity for 5002 on the Income tab.
